Follow-Up & Stewardship

Follow-Up Email and Stewardship for Fundraising Events

Dream Pilot emails your sponsors and guests by where they actually stand in the pipeline, drafts personalized thank-yous after the event, and sends sponsors an automatic reminder to invite their guests. Every audience is resolved from the live event record at the moment you send, so nobody gets an email meant for a group they already left.

Email the people at one stage, not the whole list

The reason event follow-up gets skipped is that the list is always wrong. Someone paid last week, someone RSVPed yesterday, someone unsubscribed in March, and the spreadsheet you exported knows none of it.

In Dream Pilot the audience is not a list you export, it is a view of the event resolved the moment you press send. Pick who you mean:

A sponsor who pays an hour before you send moves out of Pending and into Paid on their own. You never maintain the segment.

Write it once, personalized for each recipient

Merge fields fill in from the record, with sensible fallbacks so nobody ever receives a blank space where their name should be.

Merge fieldWhat it fills in
First nameFalls back to the business name, then to "there"
Business nameFalls back to the contact's full name
Sponsorship levelTheir committed or suggested level, if known
Sponsorship packet linkThe live packet, always current
Personal invite linkEach committed sponsor's own guest-registration link

You can draft with AI from a short description, attach your packet or invite page, send a real test to yourself first, and see a pre-send summary of exactly who will receive it, who is suppressed, and who has no usable email address.

Thank-yous that use what you already know

The week after the event is when stewardship is won or quietly lost. Dream Pilot drafts each thank-you from the record: their name, their tier, what they gave, your event, your organization's voice. You review every draft before anything sends.

From there a simple stewardship board moves each relationship along: To Thank, Thank-You Sent, Meeting Scheduled, Pledge Verbal, Pledge Confirmed, Gift Received, with pledged totals as you go.

Sponsors get reminded so you don't have to chase

A sponsor buys a table in March and forgets to invite anyone until the week of the event. Dream Pilot can send that sponsor a gentle reminder every two weeks with their own invite link, starting two weeks after they commit.

It is deliberately hard to misfire. The switch is per event and off by default, the sponsor must have opted in when they committed, reminders stop once the event has passed, and sponsors at a tier that includes no guest invitations are never nudged to invite guests. You can silence any single sponsor, and every reminder carries a one-click stop link.

Frequently asked questions

How is this different from Mailchimp or Constant Contact?
A general email tool sends to a list you uploaded, which starts going stale the moment you export it. Dream Pilot sends to a segment of your live event: sponsors who are still pending, guests who have not RSVPed, sponsors at a particular level. Nobody maintains the list, because there is no list, only the event record everything else already runs on.
Can I email only the sponsors who have not paid yet?
Yes. "Sponsors, Pending" is one of the built-in audiences, and it means exactly five statuses: not contacted, sent, opened, follow up, and no response. Anyone who pays before you send is no longer in it.
Do you handle unsubscribes and spam compliance?
Yes, and it is enforced in the send path rather than in the interface. Every campaign carries an unsubscribe link and one-click unsubscribe headers, your organization's postal address is required before a campaign can go out, and anyone who has unsubscribed is filtered out at send time even if they appear in the group you picked.
Will the AI send emails on its own?
No. AI drafts, you review and send. Thank-you drafts and campaign drafts both sit in front of you until you approve them, and the only automatic email in the product is the sponsor guest-invitation reminder, which is off by default on every event and requires the sponsor to have opted in.
Does Dream Pilot send text messages to my list?
No. Dream Pilot never sends automated texts. It can draft a message and hand it to your own phone to send yourself, which keeps you on the right side of texting consent rules, but it will not text an uploaded list on your behalf.
Is it free, and do I have to subscribe?
Dream Pilot is free to start, and you can keep using it with no subscription by accepting a small platform fee on the sponsorships you collect, or pay a plan to remove the fee.

Follow up while it still counts

Email the right sponsors and guests, thank everyone properly, and let your sponsors be reminded for you.
